Who asked, who approved, who queried it, what changed and when. It is one searchable list, and nobody can edit or delete an entry afterwards, including us.
When your auditor asks how a purchase was authorised, you search a name or a date and hand over the answer. The trail is assembled as decisions happen, not reconstructed in October.

Nothing is lost by accident.
Anything deleted goes to a bin for six weeks and comes back in full. Every requisition, approval and decision is copied overnight, and once a week one of those copies is restored and checked, so the backups are known to work rather than assumed to. Nothing deletes a record on a timer.
Security
Every trust has its own database and document storage, not a shared table, held in European Union data centres.
Staff sign in with the account they already use for their school email. Requestable never holds a password.
Every request is checked on the server, so removing somebody's access takes effect immediately.
The database itself refuses any change to the history, so it cannot be altered by anyone, including us.
The privacy notice sets out exactly what is held, where it is kept and who else is involved.
